Meetings are an important element of the corporate culture, allowing you to effectively organize the workflow and coordinate the actions of the team. Ekaterina Popova, Director of Corporate Communications at Promomed, shared with Izvestia on November 3 her experience in transforming meetings from a formal procedure into a problem-solving tool.

According to her, it is necessary to abandon the idea of daily meetings with mandatory reports. Such meetings often create only the illusion of control. It is better to encourage situational communication, where employees themselves initiate short discussions as needed. This helps to quickly resolve current issues and promotes team cohesion, forming it through joint problem solving, rather than according to a schedule.

"To synchronize the entire team, especially if it has remote employees, general meetings are necessary, but they should be optimized. For ourselves, we have determined the ideal meeting duration of 60 minutes, and the frequency is once every two weeks. The agenda with thematic blocks should be known to everyone in advance so that the participants can prepare," Popova said.

In addition, it is important to remember that modern employees are visual. In meetings, it is useful to use visual materials, such as tables or whiteboards in Trello, so that each participant can clearly see their task and intersections with colleagues. At meetings, it is worth discussing only the key points and problems of projects, avoiding operational details that take time.

The expert added that it is also possible to appoint a moderator. Each meeting is led by a moderator, and another specialist records all agreements. It is important to ensure that tasks are recorded in real time in a document accessible to all participants, which guarantees transparency and a quick understanding of the next steps.

"This approach transforms the meeting from a formality into a working session, which saves time, enhances cohesion and gives the team a clear plan of action," the specialist concluded.

He advised to define the type of activity that is given easily and naturally, whether it is idea generation, creativity or analysis. The expert also identified three types of joys that help maintain balance: physical (sports, massage), impressions (new places, meetings) and solitude (time alone with oneself). Bondarev warned about a common mistake that hinders career growth — defocusing, when a person tries to cover too many areas, which leads to stress and superficial knowledge.
